Office Services Coordinator

R/GA London is looking for an Office Services Coordinator to assist with the day to day running of the London office.  With over 200 employees in London, our Office Services Team plays an integral role in maintaining and assisting everyone in the building, providing much needed support to keep R/GA running smoothly and efficiently.

Here’s what you should know if you want to be a Security Manager at R/GA:

On any given day you might

  • Assist staff with processing expenses including running the weekly expense drop in sessions
  • Assist with travel arrangements - book flights, taxis, hotels, arrange visas
  • Maintain inventory of office stationery and consumables, ordering when required to ensure supplies are fully stocked
  • Order printed stationery, including business cards, letterhead paper, and branded notebooks
  • Maintain a neat and tidy work environment with furniture in the correct place, perform regular meeting room checks and floor walks
  • Be a part of the events team to help plan and run staff and client events including hospitality requirements
  • Provide absence and ad hoc cover for the Concierges when required
  • Assist the accounts team with invoicing when required
  • Perform H&S duties including, but not limited to - supplies for first aid boxes, fire marshal and first aider training for the office
  • Manage the Office Services on boarding induction for new hires - working with Facilities Manager to ensure desk set up for new hires and desk clearance for leavers
  • Assist with office moves
  • Arrange cards and gifts
  • Help with other ad hoc tasks as required particularly through the Office Services helpdesk
  • Work closely with and assist Facilities Manager when required

The ideal person

  • Demonstrates excellent attention to detail and accuracy
  • Is methodical, organised and able to prioritise
  • Comes with previous administrative experience, ideally within a fast paced, media environment
  • Is passionate about creating an efficient and a warm environment within the office
  • Is a good communicator who can deal with a range of people at different levels throughout the company
  • Is a good team player with a real can do attitude
  • Is proficient in Microsoft Office Suite, including Outlook and Lync

Bonus points

  • Relevant experience within Office Services in the advertising industry
  • Preferably a first aider and fire warden
